Privacy Policy

This policy explains what personal information AgedCareActionPlan.au collects, how we use it, and how we protect it. We have written it in plain English. If something is unclear, email us at support@agedcareactionplan.au.

Providing your information is voluntary. You are not required by law to use this site or to provide any of the information described below — you choose to, in exchange for the service the site provides.

Who we are

AgedCareActionPlan.au is an independent aged care guidance service operated by Steve Hadfield, based in Australia. We are not a government agency, not a care provider, and not affiliated with any aged care organisation or peak body.

What we collect — and why

We only collect information that is necessary to deliver the service you requested.

When you use a free tool

Our free tools (statement decoder, escalation ladder, fee calculator, and others) do not require you to create an account or provide personal information. You can use them anonymously.

Some tools ask you to enter information about your situation — for example, your quarterly budget or classification level — to generate a result. This information is processed in your browser and is not stored on our servers.

The free tools require no personal information. If you choose to enter situational details (such as your quarterly budget), this stays in your browser and is not sent to us — there is no consequence for declining to enter it, except that the tool cannot generate a personalised result without it.

When you complete the questionnaire

The questionnaire asks questions about your aged care situation — your state, the person's circumstances, and what kind of help you need. This information is used to generate your personalised action plan. We also ask for your email address to deliver the plan.

We collect: your email address, your state, your answers to the questionnaire questions, and the name you provide for the person receiving care.

We do not collect: Medicare numbers, financial account details, provider names, or medical information. We ask only what we need to personalise the plan.

If you choose not to provide your email address, we cannot deliver the plan to you. The questionnaire answers themselves are required to generate a personalised result — without them, the plan cannot be produced.

Your questionnaire answers are used to assign you to one of two population groups (we use these internally to match content and tools to your situation). The assignment is automatic and based on the answers you provide. You can ask us at any time which group you are in and how the assignment was made — email support@agedcareactionplan.au.

When you make a purchase

Payments are processed by Stripe. We do not see or store your card number, bank details, or any other payment credentials. Stripe's privacy policy applies to payment processing: stripe.com/au/privacy.

We receive confirmation of payment from Stripe, along with your email address, so we can deliver your plan.

If you choose not to provide payment details, the purchase cannot proceed and we cannot deliver the paid plan or guide.

When you subscribe to Navigator

Navigator membership is a recurring subscription. In addition to the information above, we store your subscription status so we can manage your access to member tools and send you monthly rule updates.

If you choose not to provide subscription details, Navigator membership cannot be activated and you will not receive monthly rule updates.

When you contact us

If you email us, we store that email so we can respond. We do not add you to any marketing list without your explicit consent.

If you choose not to provide an email address when contacting us, we cannot respond to your enquiry.

Website analytics — Google Analytics

We use Google Tag Manager (GTM) to load Google Analytics on this site. GTM is a tag delivery system — it does not collect personal information itself, but it is the mechanism by which the Google Analytics script runs in your browser. Both GTM and Google Analytics are gated by the consent banner: neither loads or collects data until you click Accept.

We use Google Analytics 4 (GA4) to understand how the site is used — which pages are visited, which tools are used most, where people arrive from, and where they leave. This helps us improve the service.

Google Analytics collects anonymised information about your visit including pages viewed, time spent, approximate location (country and city level), device type, and how you arrived at the site. GA4 does not log or store IP addresses — only approximate location is derived from the request and the IP itself is discarded. We do not use this data for advertising.

Google processes and stores this data in the United States and other countries where Google operates data centres. Google's privacy policy: policies.google.com/privacy. To opt out, click Decline on the consent banner when you first visit the site. To change your choice at any time, click "Privacy preferences" in the navigation bar (top right) or in any page footer.

How we use your information

We use the information we collect to:

Deliver your personalised action plan by email
Send follow-up emails covering the steps in your plan, not marketing. The schedule depends on the population group you were assigned: group A receives emails on day 0 (immediately), day 2, and day 14 after delivery; group B receives emails on day 0 (immediately), day 6, and day 28.
Send Navigator members monthly updates when aged care rules change
Respond to support requests
Improve the tools and content on the site using anonymised Google Analytics data

Every follow-up email includes a one-click unsubscribe link in its footer. This link covers follow-up emails only — it does not affect transactional emails (your plan delivery, payment receipts) or Navigator monthly rule updates, which have their own opt-out paths. You can also email support@agedcareactionplan.au at any time to unsubscribe.

We do not sell your information. We do not share it with aged care providers, government agencies, or any third party for marketing purposes.

Who we share information with

We share information with the following third-party services, only as necessary to deliver the service:

Google Analytics

We use Google Analytics 4 to track site usage. Anonymised visit data is shared with Google. Google processes this data in the United States and other countries where Google operates data centres. Their privacy policy: policies.google.com/privacy.

Resend

We use Resend to send emails. Your email address — and the content of the emails we send you — is transmitted to Resend in the United States for delivery. By using this site and providing your email address, you consent to this cross-border disclosure. Resend's privacy policy: resend.com/legal/privacy-policy.

Stripe

We use Stripe to process payments. Your payment information goes directly to Stripe and is never transmitted to or stored by us. Stripe is a certified PCI-compliant payment processor. Their privacy policy: stripe.com/au/privacy.

Vercel

Our website is hosted on Vercel, a US-based hosting platform. Your requests to our website are processed through Vercel's infrastructure. Their privacy policy: vercel.com/legal/privacy-policy.

No other third parties receive your personal information.

How long we keep your information

We keep your email address and plan-related information for as long as your account is active. If you request deletion, we will remove your data within 30 days. Email us at support@agedcareactionplan.au to request deletion.

Anonymous analytics data (which contains no personal information) is retained to help us improve the service.

Your rights

Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you have the right to:

Access the personal information we hold about you
Correct personal information that is inaccurate or out of date
Request deletion of your personal information
Complain about how we have handled your information

To exercise any of these rights, email us at support@agedcareactionplan.au. We will respond within 30 days.

The Privacy Act 1988 was amended by the Privacy and Other Legislation Amendment Act 2024. The new statutory tort for serious invasions of privacy took effect on 10 June 2025. If you believe your privacy has been seriously invaded — by us or by anyone else — you can complain to the Office of the Australian Information Commissioner (OAIC) or seek independent legal advice. This right is in addition to the complaint pathway described above.

Cookies

We use two types of cookies on this site:

Session cookies — used to maintain your state while you use the site (for example, to remember which step of the questionnaire you are on). These are deleted when you close your browser.
Google Analytics cookies — used to understand how the site is used. These cookies collect anonymised information about your visit. They do not identify you personally and are not used for advertising.

We do not use advertising cookies or cookies that follow you across other websites for marketing purposes. To opt out of Google Analytics on this site, click Decline on the consent banner, or click "Privacy preferences" in the navigation bar or any page footer to change your choice at any time.

Security

Our site uses HTTPS throughout. All data transmitted between your browser and our servers is encrypted. Payments are processed by Stripe, which is PCI DSS compliant.

We take reasonable steps to protect your information, but no system is completely secure. If you believe your information has been compromised, email us immediately at support@agedcareactionplan.au.

Changes to this policy

We may update this policy when our practices change. We will post the updated policy on this page with a new "Last updated" date. For material changes, we will notify subscribers by email.
